All New Tutorials - New Guided Tour!
All of the Tutorials have been completed revised. The Entering Students, New User and Attendance tutorials have been combined into the new User's Manual. And there's a new Guided Tour that will walk you through entering your first student, performing finds, and more.

 

Advance Check In Improved
If a different Student # is entered when the Advance Check In dialog box is being displayed, the new scan is recorded. It's no longer necessary to scan a different Student # or hit the ENTER key to resume normal scanning.

 

Inserting Student Photos
When inserting a photo into a student, staff or inventory record, the image files must be stored in the Student Photos folder. If the Student Photos folder is empty, or contains less than 100K, photos cannot be inserted.

After the photo or image is inserted, if the original file was not stored in the Student Photos folder, a warning dialog will appear since this photo will not transfer properly when Updating to a new version or Transferring Files between computers.

Hold the mouse over a student or staff photo until the yellow Sticky Note is displayed. The Sticky Note now contains information about the original file.

 

Network Users: The instructions for inserting Student & Staff photos and Inventory images have changed. Click here to read the Networking instructions. Step 4 and Step 8 have been revised.

 

Other Changes
Added Close buttons to the top right corner of many screens. Strange as it may sound, the real Close button is automatically disabled by FileMaker Inc. and cannot be enabled.

Added the Class Name to the new Attendance Welcome log.

Raised bar codes on the new Avery 5361 Student ID cards.

Fixed the "New Template" button on the Letters screen.

Added a "Print" button to the Expenses screen. This will print the Expenses report.

Added a "Create Password Account" button to the Staff screen.

Fixed the "Testing For" subheading on the Test List report.

Changes to "Find Household", "Find Marked" and "Find Print" buttons on Student Info screen.

Windows Users: Software Now Installs on Desktop
The Windows Installer now places Martial Arts Organizer 4 on the current users Desktop. This was done to prevent problems caused by a Windows Vista & Windows 7 programming feature called "Virtualization."

Virtualization was designed to protect program files from modification (viruses), however this creates a duplicate set of files -- a major problem for Martial Arts Organizer 4 users.

To avoid this problem, the Martial Arts Organizer 4 folder will automatically install on your Desktop. Do not place the Martial Arts Organizer 4 folder inside the Program Files folder if you are using Windows Vista or Windows 7. A warning dialog box will appear at startup if your Martial Arts Organizer 4 folder is inside the Program Files folder. You may move the Martial Arts Organizer 4 folder to any other location you wish, such as your My Documents folder, or a shared public folder.

You can create a shortcut to the Martial Arts Organizer application by opening the 'data' folder and creating a shortcut of the Martial Arts Organizer 4.exe application.

 

Dropbox Warning
If you are using Dropbox, do not store the Martial Arts Organizer 4 files inside the Dropbox folder. The reason: while Martial Arts Organizer 4 files are in use, they are constantly being updated on your hard drive. Dropbox wants to update a file as soon it changes. This means Martial Arts Organizer 4 which are constantly changing will constantly be uploaded to the Dropbox server. Not only will this cause constant traffic over your internet connection and really slow things down, but it could possibly cause file corruption since the Martial Arts Organizer 4 files are being written to (by you) and read from (by Dropbox.)

 

New Self Laminating ID Cards
The Avery 2951 ID cards have been discontinued by the manufacturer.
The replacement product -- Avery 5361 Self Laminating ID Cards -- are supported in Martial Arts Organizer 4v42 or later. Both the 2951 and the 5361 ID cards are now supported.

The 5361 Self Laminating ID cards are readily available and can be found at your local office supply store or online. Martial Arts Organizer.com will not be selling these ID cards.

If you would like to try the 5361 ID cards, go to the Student Info screen, select "Avery 5361 ID Cards" from the drop down menu below the Print button, then click the Print button. There are 10 ID card designs to choose from. Click on the numbered folder tabs above the ID card to make a selection. ID cards print 3 per page. The page size is 8.5" x 11." Since ID cards are expensive, test print ID cards on blank paper. Then use the nudge arrows in Martial Arts Organizer 4 to fine tune the positioning of the printout on the ID cards.

The new Avery 5361 ID cards are not transparent like the discontinued 2951's, but instead have a smoked appearance which, in my opinion, greatly reduces the appearance of the ID cards. Also, these new 5361 ID cards are supposed to be laser printer compatible, but my laser printer produces inconsistent coloring.

Be sure to set your laser printer to a thick paper setting and use the manual feed tray to reduce bending of the card stock.

I have two inkjet printers, and have had no printing problems with the 5361 ID cards.

Finally, in late February 2010 I sent Avery a letter with the above output examples and asked them to produce a clear plastic version of the 5391 ID cards. Hopefully they will make a clear plastic version of the 5361 ID cards because I just don't like the cloudiness of the 5361's.

 

New Style of Instruction Details Screen
The Style of Instruction Details screen has been completely redesigned and is much less cluttered. Fields have been organized into folder tabs. If you need to see information on two different folder tabs, click the "Open Another Folder Tabs Window" button to view another folder tabs window, then arrange the windows side by side.

Added "Date Renewed" field to the Eligibility and Expiration folder tab.

Also, fixed an error which would cause the number of check ins Today to display as 0 if Unlimited Check Ins are allowed.

 

Redesigned Student Attendance Screen
When viewing student records, the Attendance screen now displays more Check In History entries on the right side, and the list now includes the check in time. A folder tab for Check In Options allows you to select check in preferences for each individual student. Use the new Replace check mark button to the right of each preference to quickly change that preference for the entire Found Set. (Read more about the new Replace buttons below.)

 

New Attendance Welcome Screen
While the computer is waiting for students to check in, there's now a much more attractive screen available. To use this new welcome screen, go to the Preferences screen, click the Attendance Check In folder tab, then select "Welcome" from the new On Screen Attendance Log drop down menu. Set the Size to "Full Screen."

The new Welcome log includes your school logo and the background color of the large box on top can be set on the Interface screen by selecting a color, changing the drop down menu to "Check In" then clicking on the color sample to apply this color.

 

Attendance Check Outs
By popular demand, you can now have student check out after their class. In some states day care laws require a school to record a child's arrival and departure. To allow a student to check out, go to the Check In Options folder tab on the Attendance screen, and check the "Record Check Outs" box. The new Replace buttons allow to quickly check this box for many students. (Read more about the Replace buttons below.)

Now, when a student scans their card a second time, the software will look for the students check in record for today and enter the Departure Time into that record. A brief "Check Out Recorded" message will display. Once a student has checked out, that record is flagged in light blue on the Attendance screen, but only if the "Record Check outs" option is selected on the Check In Options screen for that student.

A student can check in and out of one class, then later in the day check into, then out of a second class.

If a student has checked in several times (using the new Advance Check In feature described below), the class with the latest starting time will be selected, and the check out time will be recorded into this record.

 

Advance Check In
Here is another highly requested new feature. Now students enrolled in two or more classes that meet on the same day can check themselves into classes at the beginning of the first class.

So if your student is enrolled in Hapkido at 7 p.m. and BJJ at 8 p.m. she can scan her card once to check into Hapkido, then she'll be asked if she wants to also check into BJJ at 8 p.m. If she scans her card again, she's checked into BJJ with an arrival time of 8 p.m. If she doesn't scan her card again, the next student simply scans their card to reject the BJJ check in, then normal attendance check in scanning resumes. (You can also hit the Enter key on the keyboard to resume normal scanning.)

In order to use this feature, go to the Check In Options folder tab on the Attendance screen, and check the "<Student Name> can Check Into consecutive classes in advance" box for each student. Or use the new Replace button described below.

 

Limited Check Ins - Daily, Weekly, Monthly
Now you can limit the number of times a student can check themselves in each day, week, or month. This was a highly requested feature that is extremely powerful. You'll see these new fields on the Check Ins folder tab on the newly redesigned Style of Instruction details screen.
Be sure to review your settings on the Preferences -> Attendance Check In screen to see how halted attendance will perform. There are powerful options such as Do/Do Not Halt Check In, Do/Do Not Require Password and Do/Do Not Record Attendance.

To set the default self check ins for a Style of Instruction, go to the School Setup screen and click on a Style & Rank. Next, click on the Style Preferences folder tab. Select the default number of self check ins.

Each time a new student is enrolled in this Style, these defaults will be used, but they can be modified for each individual student on the Style of Instruction Details screen.

There are two ways to quickly apply those changes to all of your existing students:
1) To reset all students to the defaults for their Style, go to the Attendance screen of any student, and click on any Style of Instruction and Rank. This will display the Style of Instruction Details screen. Take a look at the new design. Next, click the Show All button, then click the Reset button in the Expiration & Eligibility folder tab. This will reset all defaults and Next Test Requirements for all students.

2) If you do not wish to reset all defaults and Next Test Requirements, you can use the powerful new Replace buttons. Go to the Attendance screen of any student, and click on any Style of Instruction and Rank. This will display the Style of Instruction Details screen. Click on the Check Ins folder tab to see the new Self Check Ins fields. Perform a Find to create a Found Set, or click the Show All button. Make your selections to the Self Check In fields. Click the new Replace check mark button to the right of the field to to quickly change the entire Found Set of records, but be advised your changes cannot be undone. Use the Replace buttons with caution. If in doubt, run the Backup Snapshot Wizard first!

 

New Attendance Check In Preferences
Go to the Preferences screen and click on the Attendance Check In folder tab.

The "Show/Hide" Greeting screen preference (it's the second drop down menu on the left) now has a "Full Screen" option. This means you can set the Attendance Check in Greeting screen to display full screen, even if other screens do not.

Also, there's now three drop down menus on the right which which let you modify the display of the check in screen during Attendance Check in.

On Screen Attendance Log: Welcome, Detailed, Brief, None
Size: Full Screen, Small Screen
Position: Top Left, Bottom Left, Top Right, Bottom Right (only applied if Small Screen is selected.)

 

New Student Preferences
Next, click on the new Students folder tab.
Here you can select preferences and defaults which will be applied when a new student record is created.

 

New Reports

Class Attendance
On the Reports menu, under the Attendance and Retention categories is the new Class Attendance report. This report will display Present, Absent, Late and Left Early attendance for a single day. The report can be created for one class, or all classes, but only one date can be selected at a time. This report is student enrollment. A student must be enrolled in the class displayed in order to appear on this report.

 

Renewals
On the Reports menu, under the Retention category is the new Renewals report. This report uses the new "Date Renewed" field on the Eligibility and Expiration folder tab on the redesigned Style of Instruction Details screen.

The report also displays invoices totals, so if a student has renewed, be sure to create and/or duplicate invoices for the renewed program.

 

Style of Instruction Details
On the Reports menu, under the Retention or Student Info categories is the new Style of Instruction Details report. This report prints one full page per student and contains most of the information found on the Style of Instruction Details screen. The report can also be printed by going to the Style of Instruction Detail screen, selecting Full Page from the drop down menu below the Print button, then clicking the Print button.

 

Replace Buttons

Go to the Attendance screen of any student, and click on the Check In Options folder tab. You'll see new check in preferences at the top. To the right of each preference is a new Replace check mark button. Click this button to apply the current preference setting to all records in the Found Set. (Perform a Find to create a Found Set, or click the Show All button to create a Found Set of all student records.)

Replace changes cannot be undone. Use the Replace buttons with caution. (Run the Backup Snapshot Wizard first!)

There are also replace buttons on the Style of Instruction Details screen for the new Self Check Ins fields.

And finally, you'll find these new Replace buttons on the Style and Ranks screen. Just go to the School Setup screen and click on a Style. Now you can quickly update Next Test Date and other Requirement fields. Make your changes once, then click the Replace button to apply those changes to all the other ranks. (Note: Changes will be applied to EVERY rank in this Style.)

 

Invoice Entry Screen
Completely redesigned the Invoice Entry screen. It's now less cluttered and easier on the eye.

Attendance Greeting Screen
Fixed a bug which would cause the Attendance Greeting screen to not display during check in.

Student ID Card Stripe Color
You can now quickly change the stripe color used on ID cards. When viewing an ID card, click on the name of the school, or the Edit ID Card button. Then click on the Edit Stripe Color folder tab. Click on a color sample to immediately apply it to the card. Changes are saved automatically.

Interface Screen
When a background or color is selected from the first column for Data Entry, Admin, Student ID card, etc. the selection is now marked so you see what background or color has been applied.

Past Due & Expired Check Ins
Major modification of the code for checking in Past Due and Expired students. A smaller, less obtrusive Access Denied screen is now displayed.

Expiration Report
Restructured code for Find screen to provide greater flexibility when creating this report. Also added invoice totals to the report.

Promotions Wizard
When the Record button is clicked, a dialog box appears to confirm recording of promotions.

Test Lists & Promotions
Updated Find screen for creating Test Lists and recording Promotions using the Promotions Wizard.

Auto Dup Invoices Wizard
Upon completion of the Auto Dup Invoices Wizard, you'll be asked if you'd like to Find Due and Past Due invoices.

Time Card Report
Fixed an error in the Time Card Report find screen. Entries marked as Paid are now omitted if Paid was selected on the Find screen.

Wholesale Price List Report
Now contains Retail extended total and grand total.

Form Letters
Page layout does not revert to default if a different letter had been selected.

Address & Bar Code Labels
When creating address or bar code labels from the Letters screen, a warning message will appear if there are previously created labels. You can delete those labels to clear the labels module, or keep them and include them with the new labels being created. Also cleaned up code to prevent duplicate windows when creating mailing or bar code labels.

School Setup Screen
This screen has also been redesigned. Inventory items are now listed.

Style Entry
There's now a 'Save & Duplicate' button when creating Ranks.
There are also new Replace buttons (green check marks) that allow you to quickly update the Next Test Date and Requirement fields for all ranks.
The Up & Down arrows to move ranks and the delete ranks button have been re-programmed to prevent potential scrambling of the rank order.

Style of Instruction Details
Added a drop down menu below the Print button on the Style of Instructions Details screen. There's a new report Full Page report which contains most of the details displayed on this screen. Fixed a bug which cause Attendance Ratings to only evaluate attendance at the current rank.

Staff Screen
What an eye sore this screen was! It's been completed re-designed and cleaned up.

 

Miscellaneous Changes
The Close button on the Inventory Label Options screen now works properly.

Removed $10 processing fee from Change School Information form.

Updates to Master password disabled dialog boxes.

Updated pre-formatted Tech Support email text.

Many small interface improvements to make text more legible. 10 point text enlarged to 12 point.

Fixed missing images in Tutorials.

Cleaned up the appearance of buttons.

As a security precaution, users can now DISABLE the Master password. Go to the Accounts screen and check the "Master Password Only Displays Main Menu" checkbox and enter a Security Key of your own choosing. Be sure to remember this password, since it cannot be retrieved by Technical Support.

Corrected date formatting in several dialog boxes to properly display dates in the DD/MM/YYYY format if selected.

Class Schedule now prints properly if selected from the Reports screen.

Time Clock report now prints correctly from the Staff screen.

Style of Instruction Details screen now displays correct Attendance data if more than one Style of Instructions Details screen has been opened and the Update button has been clicked.

Invoice Duplication: Dates of auto duplicated invoices now display the correct year if invoices were to be duplicated on a specific day each month.

Inventory Labels: Quantity now defaults to 1 if creating a label for an inventory item with zero or empty quantity in stock.

Attendance Check in: fixed a bug which would cause halted check in to continue when no password is required.

Reports menu: Creating the Follow ups and Notes report no longer displays an error message.

The Version History web page now opens when updating!
Thank you for reading this before updating.

The "Restore Print Settings" check box is now automatically checked after Updating, restoring a Backup Snapshot, or Transferring Files. Only uncheck this box if specifically requested by Tech Support to do so.

Student ID cards now properly display the custom field label, if selecting a Custom Text or Date field to display on the ID cards.

Adjusted receipt printer output to include more space at the bottom.

If re-entering Registration Code, the old school name and address information is retained.

Added Manage Lists screen to Class Entry module. Click the School Setup button, then click on a class. Click on the Manage Lists button, then select a saved list name from the drop down menu. To delete a class, click the red X.

Calendars! Under Construction!

Currently only a monthly calendar is available, but daily and weekly calendars will be added in future updates. Please be patient, this is a HUGE programming task!

Create a calendar for a student by going to the Notes screen and clicking the Calendar button. Any Notes with a Date Due and the Print box checked will appear on the Calendar.
Create a calendar for a staff member by going to the Staff screen and clicking the Calendar button. Any notes with a Date Due and the Print box checked will appear on the Calendar.

Assign a staff member to a student's calendar item, and that item automatically appears on the staff members calendar. See the built in Help for all the details about Calendars.

 

Important Changes to Regarding Storing Credit Card Information in the Vault!

Please read this prior to updating!

Due to strict new security guidelines mandated by the major credit card companies, Martial Arts Organizer will no longer store sensitive credit card information. Only the last four digits of a credit card number can be stored in the Vault's credit card number fields, and the CVN fields have been removed from the Vault.

This will have only a minor impact on customers using a payment processing company. Instead of the school owner storing credit card information, the payment processing company (which meets the new security requirements) will store the sensitive credit card information. For all the details, please see the built in Help in Version 4v36.
Please read Help -> Electronic Funds Transfers -> Suggestions for Recurring Charges. If you are currently using a billing company such as Automated Payment Systems, please read Help -> Electronic Funds Transfers -> Submitting EFT Transactions.

If you wish to print credit card information prior to updating to this version, you may do so by going to the Invoice Entry screen, performing a find for all unpaid invoices (Balance Due > 0), then selecting "Invoice List" from the drop down menu below the Print button. Click the Print button, then click the Vault button. Enter your Admin level password, then click the Lock & Key icon to decrypt the sensitive data (version 4v35 only.) You can print this list, but such a printout must be stored according to your state and local laws. Martial Arts Organizer.com assumes no responsibility for the security of printed material, and the Martial Arts Organizer software no longer contains fields for sensitive credit card information such as credit card numbers or security codes.

Any payment processing company can now integrate their service with Martial Arts Organizer 4. Instructions are in the built in Help.

Removed APS menu and replaced APS button on the Invoice Entry screen with EFT button.

 

Other Changes

New and improved encryption of sensitive data! Sensitive data stored in the Vault is now automatically encrypted. See the built in Help for details.

Network users: be sure to install the Blowfish plugin on each computer running Martial Arts Organizer 4v35. See Step 3 the Networking article for instructions.

Added "Change Installment Plan" to Help menu to allow users paying under the installment program to quickly submit a different credit card.

Fixed photo duplication error when using the Duplicate button on the Student Info screen.

Fixed duplicate photos appearing in different students records. If an incorrect photo is displayed, delete the photo and re-insert the correct photo. (Duplicate photos may be deleted after deleting only one photo.)

Notes are now saved when clicking the Save button, even if the Note field is empty.

Fixed a bug which was causing the name of the Special Team to change when editing.

Fixed totals on Inventory Wholesale Re-Order report.

The pick list for Inventory items on the Invoice Entry screen now displays items which need to be re-ordered in pink, and items which have a Quantity in Stock of zero in red.

Duplicating a student record now properly duplicates the student photo.

More changes regarding double sided printing error when using Hewlett Packard printers. Version 4v34 attempts to address all known double sided printing issues with all makes of ink jet printers. Please update to Version 4v34 and if you are still receiving an error message please UNCHECK the "Restore Print Settings" checkbox on the Preferences screen. If you are STILL getting the double sided printing error, please email Tech Support using the Support button to create a pre-formatted Tech Support email, and provide the following information: the make and model of your printer, and the version of print driver software installed on your computer.

Added four Class Enrollment merge fields to Form Letters and Templates: Class Name, Class Instructor, Class Location, Class Days & Time. Please select a Class Name in order to use these fields in a Template.

Fixed blank page printing after each Certificate or Landscape letter.

The "Do Not Restore Print Settings" preference has been removed from the Preferences/General screen, and replaced with a "Restore Print Settings" checkbox. This box should remain UNCHECKED, especially if you are receiving any type of double sided printing error message, which occurs with some HP printers. Only check this box if instructed by Tech Support to do so.

Important Updating Announcement!
When updating from a previous version, if you receive an error message regarding Class Lists disregard this error message. Saved Class Lists are a new feature (see below), so there is no data to transfer from your previous version.

New Feature!
Create Saved Class Lists for Faster Class Enrollment! Users can now create lists of classes, then enroll a student in all classes in the list. Click the Help button and read "Class Info -> Saved Class Lists."

Added the Next Test Eligibility fields (from the Style of Instruction Details screen) to the list of merge fields in the Attendance Check In Greeting Editor.

New Feature!
Easier tracking of Promotions! Added Promotion check box and Style of Instruction drop down menu to Notes entry screen. Just check the new Promotion checkbox on any note, and select a Style of Instruction and the note will appear on the Style of Instruction Details screen in the bottom left corner. Also, if you create a Note and select a Style of Instruction, it will appear on the Style of Instruction Details screen.

Added drop down menu below Follow Ups button on the Notes screen. Select "Due Only" then click the Follow ups button and only follow ups which are due will be displayed. Or select "Search" then click the Follow Ups button and a Find screen will be displayed. Click Print to print the report, or use the blue arrows to browse the found records.

Follow Ups Report now uses the above Find screen mentioned above for greater flexibility.

When deleting a Rank from a Style of Instruction, the user is now prompted to move students at the rank to be deleted to a lower, previous rank, or the higher, next rank. Styles and attendance are then automatically updated to reflect this change.

New Report: Student Ranks (under Student Info or Promotions) displays student's last test date, and next test information.
